Job Objectives

Main duty is to make and process reservations through proactive selling techniques to achieve room sales and revenue. The tasks include taking and replying all reservations via telephone. Review the availability as per minimum required. Extend full cooperation within and between other departments and prepare information and documents for reports.

 

 

 

 

 

 

 

 

Primary responsibilities

 

  1. Maintains complete knowledge of:
    1. All guest room facilities / services.
    2. All hotel facilities / services and operations.
    3. Room availability, rates, packages and promotions.
    4. Restricted dates, rates and room types.
    5. Specific arrangements between hotel and travel agencies, corporate clients and reservation center/s.
    6. Internal (within the hotel) and external (city or country-wide) functions, events and exhibitions.
  2. Maintains complete knowledge and comply with all hotel and departmental standards, policies and procedures.
  3. Processes all reservation requests, changes, and cancellations according to the standards.
  4. Observes proper telephone manners at all times.
  5. Maintains complete, accurate and timely information which are essential to the reservation.
  6. Handle guest queries, requests and complaints related to reservations in a polite and efficient manner.

 

 

 

 

 

 

 

  1. Sells the best-rated room to meet the guest’s needs and maximize the room revenue.
  2. Suggest alternative date for requests on overbooked situation.
  3. Explains effectively the hotel’s policies such as: check-in and check-out time, guarantee, no-shows and cancellations for the guest to understand.
  4.  Assist the guest and provide additional guest service such as: transportation, visa requests, restaurant reservations and tours.
  5. Set up proper billing accounts according to the policy.
  6. Liaise with the Sales Department regarding booking of group rooms, banquet or conventions and long-term apartment tenants.

 

Administrative Responsibilities

 

  1. Sets up work station with necessary supplies and resource materials; maintains cleanliness throughout shift.
  2. Knows the requisition point and maintains par level of stock supplies used in the department for operation.
  3. Manages wastes by reducing wastage or minimizing the use of resources and recycling other products.
  4. Establishes two-way communication within and with other related departments.
  5. Attend briefing and departmental meetings or as assigned by supervisor.

Technical Responsibilities

  1. Knows and understands the job description of all positions in the department and their importance in the operations.
  2. Performs independent and interdependent tasks within the department and externally.
  3. Understands and observes the standards, policies and procedures at all times to be able to perform the job well and assist others in doing so.
  4. Maintains complete knowledge of all computer and manual systems currently used in operations.

 Commercial Responsibilities

  1. Maintains high level of effective communication with guests and colleagues.
  2. Exercises proper selling and up-selling techniques to help in generating maximum revenue for the hotel.

Human Resource Responsibilities

  1. Adheres to the grooming standard and the Hotel’s policy.
  2. Maintains good relationship with his / her colleagues and other departments.
  3. Develops him/her to be able to grow in the company.

RELATIONSHIP

  1. Reports to Revenue Manager.
  2. Interacts with guests, clients and other important individuals/companies in promoting the hotel’s image.

Requirements:

  1. Minimum education of Bachelor degree in Business Administration, Marketing or relevant discipline
  2. Minimum of 1-2 years in relevant experience in a similar capacity.
  3. Knowledgeable in the Reservation Operation and related applications.
  4. Have good English communication skills both in written and spoken.
  5. Posses professional disposition with good communication and interpersonal skills.
